This Google Workspace add-on, AI Word Cloud for Docs™, is developed by AI Word Cloud for Docs™.
As your trusted word cloud generator for Google Docs, we take your privacy seriously. This Privacy
Policy explains how we handle your information when you use our Google Docs Word Cloud Generator.
Data Collection and Use
As a Google Docs Word Cloud Generator, we are committed to protecting your privacy. We want to assure you that:
Google User Data We Collect
When you use AI Word Cloud for Docs™, we collect and process the following Google user data:
- Email Address: We collect your Google email address solely for user identification purposes to manage your credits and access to our word cloud generation services.
- Document Content: We access only the text content from your Google Docs that you explicitly select and request to be converted into word clouds. This content is temporarily processed to generate word clouds.
How We Use Google User Data
Google user data is used exclusively for:
- User authentication and credit management
- Processing selected text to generate word clouds as requested by you
- Providing the word cloud generation service within Google Docs
Data Sharing, Transfer, and Disclosure
With Whom We Share Google User Data
We share Google user data only with the following parties and only for the specific purposes described:
- OpenAI (GPT API): We share only the document text content that you explicitly request to be processed into word clouds. No other Google user data (including your email address or any other personal information) is shared with OpenAI.
- Our Internal Systems: Your email address is stored in our secure database solely for credit management and user identification purposes.
We Do NOT Share Data With
We do not sell, rent, or share your Google user data with:
- Advertisers or marketing companies
- Data brokers
- Any other third parties not explicitly mentioned above
- Any party for purposes other than providing the word cloud generation service
Data Transfer
When you request word cloud generation, the selected text content is temporarily transferred to OpenAI's servers for AI processing. This transfer is:
- Encrypted during transmission using industry-standard SSL/TLS protocols
- Limited only to the text you explicitly select for processing
- Not stored permanently by OpenAI per their API data usage policies
Data Retention and Deletion
Retention Period
We retain Google user data for different periods based on the type of data:
- Email Address: Retained as long as you maintain an active account with our service
- Document Content: Processed text is temporarily held in memory during word cloud generation and immediately deleted after the word cloud is created and delivered to you (typically within seconds)
- Generated Word Clouds: Not stored on our servers; delivered directly to your Google Docs
Data Deletion
You can request deletion of your Google user data at any time by:
- Contacting us at [email protected] with a deletion request
- Uninstalling the add-on from your Google Workspace
Upon receiving a deletion request, we will:
- Delete your email address from our database within 30 days
- Confirm that no document content is stored (as it is already deleted immediately after processing)
- Send you confirmation of deletion completion
Automatic Deletion
Document content processed for word cloud generation is automatically deleted:
- Immediately after successful word cloud generation
- Within 5 minutes if the generation process fails or times out
- No document content is ever stored permanently
Compliance with GDPR and Other Regulations
As a Google Docs Word Cloud Generator provider, we adhere to the General Data Protection Regulation (GDPR)
and other applicable data protection laws and regulations. We ensure that our word cloud generator
practices comply with these laws to protect your privacy and data.
User Data Ownership
When using our Google Docs Word Cloud Generator, you retain full ownership and control over your Google user data:
- You own all content in your Google Docs
- We do not claim any ownership rights to your documents or generated word clouds
- We access your Google Docs content only when you explicitly request word cloud generation
- We do not use your Google user data for any purposes other than providing the word cloud service
- You can revoke our access to your Google data at any time through your Google Account settings
User Consent for AI Data Sharing
We obtain your explicit consent before processing any Google user data:
- You must actively select text and click generate to initiate word cloud creation
- Each word cloud generation request requires your explicit action
- We never automatically process your Google Docs content without your direct request
- You are informed that selected text will be processed by AI (OpenAI GPT) before generation begins
- You can cancel the process at any time before completion
Third-Party Services
Our Google Docs Word Cloud Generator integrates with the following third-party services:
OpenAI (GPT API)
We use OpenAI's GPT API exclusively for analyzing and processing text content to generate word clouds. When using this service:
- Only the document text you select for word cloud generation is sent to OpenAI
- Your Google email address and other personal information are never shared with OpenAI
- OpenAI processes the text according to their API Data Usage Policy
- OpenAI does not use API data to train their models
Security
We implement multiple security measures to protect your Google user data:
- Encryption: All data transmissions are encrypted using SSL/TLS protocols
- Access Control: We use OAuth 2.0 for secure authentication with Google services
- Minimal Permissions: We request only the minimum Google API scopes necessary (documents.currentonly)
- No Persistent Storage: Document content is never stored on our servers

Limited Use Disclosure
AI Word Cloud for Docs™'s use and transfer of information received from Google APIs adheres to
Google API Services User Data Policy

- Do not transfer Google user data to others except as necessary to provide the service (i.e., sending selected text to OpenAI for processing)
- Do not use Google user data for serving advertisements
